Southcote Park Estate Resident’s Association - Privacy Policy (GDPR)
Purpose
This document explains how Southcote Park Estate Residents’ Association (SPERA, ‘us’, ‘we’) uses the personal data it collects for the purpose of carrying out its functions as a residents’ association.
SPERA has to keep certain personal data about you in order to carry out its basic roles and takes the security of your data very seriously. For the purpose of data protection legislation, SPERA is a data controller, which means we have to explain to you how and why we keep your data.
What personal data do we hold?
The personal data SPERA holds is the information provided by you when you complete the sign-up form. This includes
- first name
- last name
- property address
- email address.

We collect data from you when you complete the sign-up form.
What do we use your information for?
We hold data about you for the main purpose of communicating with you regarding events such as the Annual General Meeting (AGM), other meetings, information notices and the collection of the annual levy.
Who do we share your personal data with?
We use MailChimp to store the data collected. MailChimp’s security policies can be found on their website:

We do not share your data with any other parties.
Who do we disclose your personal data to?
Data is kept between you and SPERA. We don’t disclose it to anyone unless we are required to by law, such as to a court or a regulator, which we do not expect to happen.
How long will we store your personal data?
We store your data for as long as you wish to receive communications from us. It is your responsibility to inform SPERA that you wish to leave by contacting the committee or by using the unsubscribe link provided in each email.
We may periodically review the data we hold and may erase or anonymise data we believe is no longer required.
Data Removal
We will remove your details from the list upon request in writing.
What rights do you have?
You have the right to write to us to ask us to:
- Give you a copy of the personal data we hold about you;
- Have the data changed, if it is inaccurate;
- Have the data erased if it is no longer necessary; or
- Restrict or object to the processing of your data.
